Setting up VIP for export of Netcash file

Netcash allows you to transfer your salary payments directly to South African bank accounts.

  • This needs to be set up for EACH COMPANY with an ACB export sent to Netcash.
  • The Netcash Account Number and Service Keys differ for each Netcash client.
  • These details are available from the respective Netcash Relationship Consultant who deals with the VIP Outsourcing clients’ accounts at Netcash.
  1. In VIP, click on Interfaces > Export Control > ACB.
  2. Select Netcash from the drop-down menu and click close.
  3. Insert the following for the client that you are configuring:
  1. Netcash account Number
  2. Salary payments service key
  3. Credit data (Risk reports) service key
  4. Click Close.

How to upload a batch to Netcash

Netcash offers two (2) Payment services:

Dated Service – great for salaries or wages.

  • Closes at 13h00 (must be authorized on Netcash system) on Monday to Friday (excluding public holidays) one (1) business day prior to the action date.
  • Payroll value transfer must take place by the latest 13h00, one (1) business day prior to the action date.
  • Payments are allowed Monday to Saturday (excluding public holidays).
  • All bank customers see the value on the Action Date (all bank accounts [irrespective of bank, branch or account type] updated at 00:01 of action date).

VIP will by default transfer a file to Netcash as a Dated Service file.

Same-day service – great for creditor payments.

  • Closes at 13h00 (must be authorized on Netcash system) on Monday to Friday (excluding public holidays ) on the action date.
  • Payroll value transfer must take place by the latest 13h00 on the action date.
  • Payments are allowed Monday to Friday (excluding public holidays).
  1. In VIP, click on Interfaces > Export data > ACB Payroll Data.
  2. Now follow your standard process to export the ACB file.
    – Wait for the system dialogue to confirm that the file was sent to the client’s Netcash account and then click OK.
    – Netcash will email (as long as your email address is loaded with the service key) a load report to you detailing accepted and rejected transactions. By default, the batch will not load unless all transactions are accepted. Should any of the transactions fail, please rectify the errors and upload the payment file again.

Notes: Should the client require that Netcash accepts only the transactions that passed upload validation and ignore the errors, this can be arranged with the Netcash Relationship Consultant.
If the load reports display “successful” then you may contact your client to advise them that salaries are loaded on Netcash and are ready for authorization.

How to authorise a salary batch

  1. Select Services.
  2. Click on Payments on the dropdown menu.
  3. Select Salaries > Salary batches. The list of salary batches will be displayed.
  1. Select the Authorise button next to the batch that you would like to process.
  2. The confirm batch authorisation screen is displayed. This is a summary of the salary batch including charges, notifications and a choice of funding options:
    Use against available balance if there is sufficient credit in your Netcash account.
    Will make bank transfers if you need to fund the Netcash clearing account for payment.
  3. Read and accept the terms and conditions, then select Authorise.
Notes: Batches can be unauthorised until 13h00 on the date they are to be processed on the Same day service and by 13h00 one business day before the payments day for the Dated payment service.
  1. Should you select to pay using the Available balance option you will then be re-directed to the Confirm batch authorisations screen.
  2. Insert the One Time Pin (OTP) sent to your cell number or Google Authenticator pin.
  3. Click OK.
  4. Your Salary Batch is now authorised and will be scheduled to run on the selected date.
  5. If you require additional authorises, the batch will be awaiting further authorisation – please inform the additional authorisers of this.
  1. If you are paying using the Will Make bank transfer option, you will be prompted to insert the following information:
    – The date when the transfer will be made.
    – The Netcash account you will be transferring to.
    – The amount to be transferred.
    – The extra fields are optional for reconciliation purposes.
    – Click Next.
  2. Click on a Print Report in order to obtain details of the Netcash clearing that you need to fund.

Please ensure your transfer has the correct reference.

  1. Click Authorise to confirm your bank transfer.
  2. Insert the One Time Pin (OTP) sent to your cell number or Google Authenticator pin and click Authorise.
  3. Your salary batch is now authorised and will be scheduled to run on the selected date.
  4. If you require additional authorises, the batch will be awaiting further authorisation – please inform the additional authorisers of this.

Notes: One Time Pins are session-based, which means that as long as you are logged in to your Netcash account, you can use
the same OTP to authorise. Where multiple authorisations are required, only the first authoriser needs to insert the OTP.

How to download your post-batch processing report

  1. Click on Services.
  2. Select Payments from the dropdown menu.
  3. Click on Salaries > Salary batch reports.
  4. Click on the Printer icon on the left of the batch.
  1. Click on the Export icon and select your preferred format to download your report.
  2. The batch would automatically start downloading and save in your default downloads folder.
